How to Join the Monthly Meeting

Please bare with us. The virtual meeting infrastructure is in the beta phase of dev so some of the rules below are not in effect (sign-in logistics). That said the Feb meeting we will be using a simple Google Meet link and your identity will be verified when you join. All rules pertaining to behavior are in effect. Further meetings will be run according to the following rules;
1. All requests to participate in a virtual meeting must be made via email at least 48 hours before the meeting date and time.
2. When registering or requesting attendance for a virtual meeting, NO COMPANY EMAIL will be accepted. Non-compliance will result in no link being sent.
3. The Local will send a confirmation and acceptance of the request to join the virtual meeting. Twenty-four hours prior to the monthly meeting, a link will be sent to the approved attendees.
4. ALL members who receive the link must log in BEFORE the meeting start time. Members will be placed in a waiting room until five minutes before the meeting. All attendees must have their full name displayed and be visible at all times. The VP may question attendees if there is doubt regarding their identity.
5. The cutoff time for admitting members into the meeting is 19:00 (7:00pm) for qualification purposes.
6. Members attending virtually MUST keep their cameras on for the entire meeting. Any person who is not visible for more than five minutes will be removed, and attendance will not be credited.
7. No member will be allowed to participate through audio-only.
8. All rules apply virtually as they would for an in-person attendee.
9. ALL microphones will be muted by the VP/moderator during the meeting. A member will be un-muted when recognized by the Chair and allowed to speak according to in-person meeting rules.
10. NO recording of the meeting is permitted.
11. A member wishing to speak must use the “raise hand” icon and be recognized by the chair before speaking.
12. In the event of a power failure or loss of signal of the live feed, the executive moderating the meeting will inform the chair and attendees, and a pause will begin until the feed is restored. If an individual participant loses connection, no pause will be granted; they may rejoin once reconnected. If they cannot reconnect, they will STILL be credited as attending. If a member constantly has power or connectivity issues virtual meeting capabilities will be judged on a case-by-case basis.
13. If voting is required, members shall raise their hand icon at the appropriate time. The chair will wait for confirmation from the executive moderating the link regarding the vote count before proceeding. For closed-ballot votes, a separate link will be shared in the chat. This process must ensure privacy of individual votes.
14. If nominations are required, members attending virtually may raise their hand and, once recognized, state their nomination. The VP/moderator will then announce the nomination and the proposer when called upon. Nominees may accept nomination virtually in the same manner.
